Event Management Assistant

Position Summary

 The Event Management Assistant will support the ICE Gathering Events Team in planning for the pinnacle ICE Gathering on October 21st-22nd 2020 in Ottawa, Ontario, Canada. The ICE Gathering is an intensely interactive retreat focused on how the ICE community and Indigenous communities across the country can catalyze clean energy impact and projects. The Event Management Assistant will need to have strong event planning and organizational skills. Beyond logistical planning for the ICE Gathering, this individual will also create travel itineraries and schedules for the ICE Board of Directors and Advisory Council members who will be having their Annual General Assembly alongside the ICE Gathering event.  


  • Populating SCHED – our online event management software- with ICE Gathering programming information;  
  • Creating Eventbrite invitations for various sessions throughout the ICE Gathering;  
  • Working with the Creative Content Assistant to create and manage custom branding and communications schedule for the ICE Gathering; 
  • Distributing press releases and seek earned media opportunities;  
  • Developing event and session feedback surveys; 
  • Creating and managing ICE staff schedules for the ICE Gathering week of events to ensure a balance of work hours and breaks are allotted; 
  • Drafting letters and special invitations to attend the ICE Gathering;  
  • Work collaboratively with ICE Gathering partners, such as the Independent Electricity Systems Operator (IESO) and Student Energy’s SevenGen teams; 
  • Creating travel itineraries and schedules for the ICE Board of Directors and Advisory Council members; and 
  • Other duties as required.  

   Experience & Skills

  • Possesses excellent communication skills, both written and verbal;  
  • Well-organized, proactive and detail oriented; 
  • Self-motivated and driven to produce quality results;  
  • Ability to work as part of a team in a dynamic fast-paced environment;  
  • Experience as an event or logistics planner or organizer would be an asset; 
  • Comfortable liaising with different stakeholders, including individuals in senior positions in communities or organizations;  
  • Strong interest in community building and inspiring interest in clean energy;  
  • Previous experience working with First Nation, Métis and Inuit communities would be an asset;  
  • The successful applicant must have access to a computer as one will not be provided; 
  • Comfortable coordinating multiple moving projects; 
  • The ability to speak a second language is an asset; and 
  • Desire to build or improve leadership and teamwork skills. 

     Contract Term 

    The Event Management Assistant is a fixed term hire and will receive $17/per hour CAD and work full-time up to 37.5 hours per week between May 11th, 2020 and August 28th, 2020 with the possibility of an extension. This position is completely remote. You must provide your own laptop for this position and have access to reliable internet.
