JOB SUMMARY

ICE is seeking a highly organized and detail-oriented individual to join our team as an Executive Assistant. As an integral part of our organization, you will provide essential administrative support to our executive team. Your exceptional organizational skills, strong attention to detail, and ability to handle multiple tasks simultaneously will be crucial to your success in this role.

RESPONSIBILITIES

Act as the primary point of contact for executives, managing their calendars, scheduling appointments, and coordinating meetings and travel arrangements.
Prepare and organize documents, reports, and presentations for executive meetings, ensuring accuracy and confidentiality.
Conduct research and gather information to assist executives in making informed decisions.
Maintain and update files, ensuring they are well-organized and easily accessible on the SharePoint and Asana platforms.
Prepare and distribute meeting agendas, minutes, and follow-up action items to ensure effective communication and execution of decisions.
Coordinate all travel arrangements, as well as preparation and submission of travel and expense reports for reimbursement.
Assist the Administrative/Operations team with various tasks.
Collaborate with the finance department to process invoices, make payments, and track receipts.

QUALIFICATIONS

1-2 years of relevant work experience and 3 years of post secondary education or an equivalent combination of education and experience.
Previous experience working with First Nation, Inuit and Métis communities would be an asset.
Previous experience working with a board or other governing body or asset.
Present intermediate skills in using Microsoft Office software as well as other web-based tools such as Asana and SharePoint.
Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
Strong attention to detail and accuracy, ensuring high-quality work in all tasks and documents
Excellent verbal and written communication skills.
Ability to maintain confidentiality and handle sensitive information with discretion and professionalism.
Strong problem-solving skills and the ability to work independently, taking initiative and finding solutions to challenges.
Professional demeanor, with excellent interpersonal skills and the ability to work effectively with individuals at all levels of the organization.
